Creeton & Ropsley Offices - £40,000 - £45,000 + Holiday, Pension Scheme

About the Role:
We are seeking an experienced and organized Senior Site Coordinator to oversee the daily operations at our Creeton and Ropsley sites.
The Senior Site Coordinator will be pivotal in ensuring smooth operations within both offices, including handling weighbridge duties, managing sales processes, overseeing accounts, and supporting staff and customer communications.
The role also includes building up customer partnerships, dealing with all the fundamentals of
supply and delivery, along with the compliance and sustainability of waste.

Key Responsibilities:
General Office Management
•Oversee daily operations for both Creeton & Ropsley offices.
•Operate the weighbridge system, controlling all entries/exits from the quarry and providing coverage during holiday or sickness.
•Accurately issue weighbridge tickets.
•Generate weekly sales invoices and complete month-end close for each quarry.
•Send out customer statements and follow up on payments.
•Raise purchase orders (POs), receipt goods, and input supplier invoices into accounts.
•Reconcile accounts against supplier statements, haulage invoices, and upload invoices to Key Prime.
•Cross-reference Duo invoices with weighbridge reports.
•Raise proformas (cash sales), handle card payments, and maintain an invoices-on-hold tracker.
•Monitor compliance with site rules and contractor inductions.
•Enter hires/incidents onto HIVIZ, track and close off actions as needed.
•Perform daily and weekly site figure reporting, and maintain accurate paperwork and filing.
•Manage stationary stock, staff timesheets, and holiday schedules.
•Assist with recruitment and manage ad hoc office duties as required.
Sales Management
•Answer customer calls, take orders, and provide quotes on supply/delivery jobs and collections.
•Generate new business opportunities by visiting customers and advising on materials.
•Coordinate closely with weighbridge staff to ensure accurate pricing and with drivers for efficient scheduling.
•Schedule lorries with carbon footprint reduction in mind and organize samples for grading/quality control.
•Liaise with the Quarry Manager regarding stock requirements and handle any arising issues promptly.
What We’re Looking For:
•Proven experience in office management, preferably in a quarry, construction, or logistics environment.
•Strong communication skills and the ability to build effective relationships with customers, suppliers, and team members.
•Excellent organizational skills with the ability to multitask and prioritize.
•Proficiency with Microsoft Office Suite and knowledge of Key Prime is a plus.
•A proactive, solution-oriented approach with a keen attention to detail.
